Something I always do after every meeting:
I write things down.
Not because people forget.
But because it’s easy for people to walk away from the same conversation with different interpretations.
Here are a few things I always document:
1. A quick summary.
Before everyone moves on to their next task, capture the key takeaway. It helps everyone leave with the same understanding instead of different interpretations.
2. The decisions we made.
It’s easy to remember the discussion but forget the conclusion. Writing down what was actually decided keeps everyone aligned and reduces back-and-forth later.
3. The next steps.
Who’s responsible? What’s the deadline? What’s expected next?
Clear action items help work continue without waiting for another meeting.
4. Any blockers or open questions
If something still needs clarification, it’s better to document it right away instead of letting assumptions slow the project down.
None of these take very long.
In fact, there are plenty of tools today that can help capture meeting notes, summarize discussions, and organize next steps.
Those few minutes can save hours of confusion, unnecessary follow-ups, and repeated conversations.
Whether you’re a founder, a freelancer, or a VA, good documentation doesn’t just keep work organized.
It makes you easier to work with.
